“We’ve already called them.”
That sounds reassuring in a sales review. Until you ask who is making the next call and discover that each rep thought someone else would handle it.
With a small team, a quick conversation might settle it. However, as you add reps, split responsibilities, and introduce different calling tools, you need that next step to be clear without chasing people.
HubSpot can help automate the follow-up, but whether a logged call creates the next task depends on how your workflow is set up. Here is where to look when calls are being logged but prospects are still waiting.
Check Whether the Call Actually Triggered Anything
Suppose your workflow creates a task when a call ends. One rep calls through HubSpot. Another calls outside it and manually logs the conversation afterward.
Both calls can appear in HubSpot, but only one triggers this event. HubSpot’s “Call ended” event works with HubSpot calls and supported third-party calling apps. Manually logged calls do not trigger it.[1]
Before adding another calling tool, make a test call and check the workflow’s enrollment history and action logs: [2]
- Did the contact enter the workflow?
- Did the task reach the right person with the right due date?
For manually logged calls, have reps create follow-up tasks until a separate process is tested.
Your Second Call Needs a Second Test
Now consider a workflow that worked after the first call but missed the second.
HubSpot enrolls records only once by default. Re-enrollment lets them enter again. But call activity fields, such as call outcome, cannot serve as re-enrollment triggers. A contact also cannot re-enter the same workflow while still enrolled. [3]
For supported calls, consider a “Call ended” event trigger with re-enrollment enabled. [4]
- Test a second call after the contact exits, and another while it is waiting in a delay.
- Keep task creation separate from long waiting periods so the contact can exit sooner. This reduces the gap but cannot guarantee a separate task for every call. [5]
Decide Who Should Make the Next Call
Who should follow up after a prospecting rep speaks to an account already handled by a closing rep?
Decide that before configuring assignment. Otherwise, a workflow can run successfully and still send work to the wrong person.
If you use “Rotate record to owner,” you need Sales or Service Hub Professional or Enterprise and eligible paid seats. [6]
- Check whether it can overwrite existing ownership and which reps are eligible. [7]
- Review those settings when territories or roles change.
- Define who handles records without an owner, and check task assignment separately from contact ownership.
A Completed Call Does Not Explain the Outcome
HubSpot stores call status and call outcome separately. A “Completed” status does not, by itself, tell you whether a useful sales conversation happened. [8]
Missing outcomes can also leave follow-up rules without the information they need.
- Agree on which outcomes need another call and which contact and deal record to link. HubSpot training services should cover those decisions using actual calling scenarios.
- For “Call ended” enrollment, required outcomes must be saved when that event occurs. Check this timing with each calling tool. [9]
Your Follow-Up Process Needs an Owner Too
Assigning every prospect to a rep does not settle who maintains the rules behind their follow-ups.
Give sales operations responsibility for updating workflow rules and resolving conflicts, or make this an explicit part of your HubSpot managed services agreement.
If your reps are logging calls in HubSpot but you still have to chase who follows up, email us at info@growthnatives.com. We can help you find where call records, workflow triggers, and task assignments stop matching how your team works, then adjust the setup so the next step reaches the right rep.
Your prospect should hear from the right rep before anyone has to ask, “Who was supposed to call?”
